Privacy Policy

The Wellness Guild exists to connect clients with licensed wellness providers. That takes trust, and trust starts with being clear about the information we collect, why we collect it, who sees it, and how it is protected. This policy describes all of that in plain language.

Information we collect

Account and contact details — your name, email address, phone number, city, and state when you create an account or request an appointment.

Health intake answers — the health history, current medications, injuries, areas of concern, and requested modalities you share on an intake form. This is sensitive information, and it is collected so the provider you are booking with can care for you safely.

Appointment and session records — your bookings, appointment times, services booked, session notes written by your provider, and any ratings or reviews you leave.

Provider credentials — for providers and spas: license numbers, license and certification documents, and government-issued identification submitted for verification.

Membership and billing information — for provider and spa memberships, the plan, billing status, and renewal dates. Card details are entered directly with Stripe and are never stored by the Guild.

How we use information

To match clients with licensed providers and let you book appointments, whether at a studio or in your home.

To let a provider review intake information before a session so they can plan safe, appropriate care.

To keep appointment and session records for the provider's own practice records.

To manage provider and spa memberships, including subscription billing and renewal reminders.

To send the notifications you would expect — booking updates, reminders, and messages from your provider.

To keep the platform safe, prevent misuse, and meet our legal and licensing obligations.

Who can see your information

The provider you book with. When you submit an intake form for an appointment, the provider you are booking with can read it — that is the purpose of the form. Providers can see intake and session information only for their own clients.

The Guild's platform team. Guild administrators can see membership, billing, verification, and account records. They cannot read clients' intake forms or providers' session notes.

Stripe. Provider and spa membership subscriptions are processed by Stripe, which receives the payment details you enter at checkout. The Guild never stores card numbers.

We do not sell personal information, and we do not share it for advertising.

How information is disclosed

Information is disclosed only in the ways described in this policy: to the provider you choose to book with, to Stripe for membership billing, and to others only where the law requires it or where you have asked us to share it. Disclosures are limited to the specific information needed for that purpose.

How we protect your information

Health intake answers and session notes are encrypted and stored privately, with access limited to the accounts that need them.

Every record is access-controlled by role — a provider can only reach their own clients' information, and a client can only reach their own.

Your consent is captured before an intake form is submitted, and you can withhold sensitive details you would rather not share.

Card details never touch the Guild's systems; Stripe handles subscription payments directly.

Only Guild team members who need access for support, billing, or compliance can reach account records, and that access is recorded in the platform's audit log.

Questions about this policy

If you have a question about this policy, or about the information the Guild holds for you, send a message from the contact page and the Guild team will reply by email.
