Terms of Service

Terms of Service

These are the terms that govern your use of The Wellness Guild. There are four documents below — one for clients, one for independent providers, one for local spas, and one for wellness listings — followed by the clauses that apply to everyone. Choose the one that matches how you use the Guild.

For Clients

Version 1.0 · Effective September 27, 2026

Who these terms are for These terms cover your use of The Wellness Guild as a client looking for wellness care. By creating an account or requesting an appointment, you agree to them. If you also list a practice on the Guild, the provider terms apply to you as well.

The Guild's role The Wellness Guild is a directory and booking facilitator. We are not a healthcare provider, and we do not diagnose, treat, or advise on any health condition. Every provider listed on the Guild is an independently licensed practitioner or business — not an employee or agent of the Guild.

Your account You agree to give accurate information when you create your account, to keep your login details private, and to be responsible for activity under your account. You must be old enough to consent to your own care in your state, or have a parent or guardian do so for you.

Requesting a session Requests you send through the Guild go to the provider you chose. The provider decides whether to accept, ask for more information, refer you to someone else, or decline. A session is confirmed only when the provider accepts it.

Health information and consent Some providers ask you to complete a health intake form before a session. You consent to the provider you requested reading that form so they can plan safe care. You may withhold details you would rather not share, and you can ask the Guild to delete your intake data at any time from your dashboard.

Payment You pay your provider directly, using the payment methods they list. The Guild never takes or holds payment for a session, and the Guild does not set provider pricing. Any question about an amount, a refund, or a receipt is between you and your provider.

Cancellations and no-shows Cancellation, rescheduling, and no-show policies are set by each provider, not by the Guild. Check the provider's terms before you book. The Guild does not issue refunds and cannot waive a provider's policy.

Your conduct Treat providers and their premises with respect, arrive as scheduled, and follow the safety guidance you are given. Do not use the Guild to harass anyone, to post false reviews, or to break the law. We may suspend an account that does.

Reviews and ratings Ratings and reviews should reflect your own genuine experience. We may remove content that is abusive, false, or that identifies another person's private information.

Ending your account You can close your account at any time from your dashboard. We may suspend or close an account that breaks these terms or that puts other people at risk.

For Independent Providers

Version 1.0 · Effective September 27, 2026

Who these terms are for These terms cover your use of The Wellness Guild as an independent provider with a directory listing and booking tools. By creating a provider account, you agree to them, together with the clauses that apply to everyone.

You are an independent business The Guild does not employ you. You run your own practice, set your own prices, hours, services, and booking policies, and you are solely responsible for your business decisions and for your own compliance with the laws and regulations that apply to you. Nothing in this agreement creates an employment, partnership, or agency relationship.

Licensure and verification You confirm that you hold an active, unrestricted massage therapy license in every state you list, and that the license number, legal name, and expiration date you give us are accurate. You agree to keep them current and to tell us when a license is renewed, restricted, or expires. Your listing stays hidden from the directory until the Guild verifies your license and identity documents. Verification supports honest listings; it does not make the Guild responsible for your practice or your outcomes.

Your membership Independent provider membership is billed every 4 weeks through Stripe. Your cycle runs from the date you activate it. If a cycle lapses, your account moves through a grace phase, then a late phase, and then suspension — during which your listing is hidden from the directory. We notify you before and during each phase. If you hold a Legacy account, your membership is free and never bills you.

Client payments Clients pay you directly, using the methods you list. The Guild never receives or holds payment for a session, and it never takes a share of your session fees. The platform processes only your own membership subscription.

Intake and client information You may use the Guild's intake system or your own external form. Client health information is shared with you so you can plan safe care, and it is shared with you alone. You agree to use it only for that purpose, to keep it confidential, to store it securely in your own records, and to comply with the privacy and consent laws that apply to your practice. You agree not to copy client information out of the platform for marketing, and never to sell it.

Session records Session notes you write are yours, and the Guild keeps them private to you. You agree to keep your records accurate and to retain them for as long as your state requires.

Your listing You are responsible for the accuracy of your profile — your bio, specialties, services, prices, locations, and photos. Do not claim credentials, training, or affiliations you do not hold. We may edit or remove a listing that is misleading or that breaks these terms.

Conduct and standard of care You agree to practise within your license and training, to obtain informed consent before a session, to decline or modify a session where it would be unsafe, and to maintain professional boundaries with clients at all times.

Room sharing, cohorts, and community Optional features such as shared treatment rooms, cohorts, and community spaces are provided so providers can coordinate with one another. Agreements you make with another provider through those features are between you and them. The Guild is not a party to them and does not arbitrate them.

Ending your membership You can cancel your membership from your account settings, and your listing stays live until the end of the cycle you have paid for. We may suspend or remove a listing if your license lapses, if verification fails, or if you break these terms.

For Local Spas

Version 1.0 · Effective September 27, 2026

Who these terms are for These terms cover your use of The Wellness Guild as a local spa or wellness business with a multi-location listing and employee listings. By creating a spa account, you agree to them, together with the clauses that apply to everyone.

Your business The Guild does not employ your therapists and does not operate your business. You are solely responsible for your spa, your staff, your premises, your pricing, and your compliance with the licensing, employment, and health-and-safety laws that apply where you operate.

Licensure and verification You confirm that your business and your therapists hold the licenses required in every state where you operate a location, and that the license details and documents you submit are accurate. You agree to keep them current and to tell us if a license is restricted or expires. Your listing stays hidden from the directory until the Guild verifies your business license and identity documents.

Your membership Spa membership is billed every 4 weeks through Stripe at the rate shown at checkout for the number of locations on your account. Your membership includes up to six employee listings. Additional employee listings beyond that are charged as an add-on on the same cycle. If a cycle lapses, your account moves through grace, late, and suspension phases, and your listing and employee listings are hidden from the directory while suspended.

Employee listings You are responsible for the employee listings you create or invite, for the accuracy of the details they carry, and for removing a therapist who has left. Employee listings belong to your spa and are hidden from the directory if you remove them or if your membership is suspended.

Intake and booking Spas use their own external intake and booking systems. The Guild does not store client intake data for spa bookings — it lives in your system. You are responsible for the privacy, security, and consent practices of that system, and for the care your team provides.

Client payments Clients pay your spa directly. The Guild never receives or holds payment for a session and never takes a share of your session fees. The platform processes only your membership subscription.

Your team and your listing You agree that the therapists you list are licensed and in good standing, that your profile accurately describes your services and locations, and that you will not use the Guild to advertise anything unlawful or misleading.

Ending your membership You can cancel from your account settings, and your listing stays live until the end of the cycle you have paid for. We may suspend or remove a listing if verification fails, if a required license lapses, or if you break these terms.

For Wellness Listings

Version 1.0 · Effective September 27, 2026

Who these terms are for These terms cover your use of The Wellness Guild as a wellness listing — a directory page that presents your practice and lets clients reach you directly. Wellness Listings have no booking, scheduling, or intake tools. Spa employee listings are covered by the spa's terms and the spa's membership.

What a listing includes Your listing gives you a public profile page with your bio, specialties, photos, and locations, and the contact details you choose to show. Clients contact you directly. The Guild does not take bookings on your behalf and does not handle payment for your services.

You are an independent business The Guild does not employ you. You set your own prices, hours, and services, and you are responsible for your own practice and for your compliance with the laws that apply to you.

Licensure and verification You confirm that you hold an active, unrestricted massage therapy license in every state you list, and that the license details and documents you submit are accurate. You agree to keep them current. Your listing stays hidden from the directory until the Guild verifies your license and identity documents.

Your membership Wellness Listing membership is billed every 4 weeks through Stripe at the rate shown at checkout. If you claimed a free listing period, no payment is taken during that period; at the end of it, the paid membership applies if you choose to keep the listing live. If a cycle lapses, your account moves through grace, late, and suspension phases, and your listing is hidden from the directory while suspended.

Your listing content You are responsible for the accuracy of everything on your listing. Do not claim credentials, training, or affiliations you do not hold, and do not present the listing as offering booking or clinical services through the Guild. We may edit or remove a listing that is misleading or that breaks these terms.

No clinical relationship through the Guild Because a listing does not include booking or intake, no clinical relationship is created between you and a client through the Guild. Any care you provide happens directly between you and that person, under your own intake, consent, and recordkeeping practices.

Ending your membership You can cancel from your account settings, and your listing stays live until the end of the cycle you have paid for. We may suspend or remove a listing if verification fails, if your license lapses, or if you break these terms.

Terms that apply to everyone

The Guild's role The Wellness Guild provides the technology that lets clients find licensed providers and request appointments, and that lets providers run a modern practice. The Guild is not a healthcare provider and does not practise massage therapy or any other form of care. Each provider is an independent business, solely responsible for their own practice, pricing, policies, and standard of care.

Acceptable use Do not use the Guild to break the law, to misrepresent who you are or what credentials you hold, to harass or deceive anyone, to post false reviews, to scrape or copy other people's information, or to interfere with the platform or another person's use of it. We may suspend or remove any account or listing that does.

Verification and its limits The Guild reviews licenses, identity documents, and listings before they go live, and monitors licenses for expiry. These checks are designed to keep false or misleading listings off the platform. They do not make the Guild responsible for a provider's practice, professional conduct, or client outcomes, and they are not a substitute for a client's own judgement.

Your information How the Guild collects, uses, shares, and protects personal information is described in the Privacy Policy, which forms part of these terms.

Availability of the platform We work to keep the Guild running, but we do not promise uninterrupted service. Features may change, and we may suspend the platform for maintenance or for reasons outside our control.

Limitation of liability To the fullest extent the law allows, the Guild is not liable for indirect, incidental, or consequential losses arising from your use of the platform — including a session's outcome, a provider's or client's conduct, a missed or cancelled appointment, or a payment made directly between a client and a provider. Where liability cannot be excluded, it is limited to the amount you paid the Guild in the twelve months before the claim. Nothing here limits rights that cannot be limited by law.

Disputes If a disagreement arises about a session, a payment, or a provider's conduct, it is between the client and the provider, and the Guild is not a party to it. If you have a concern about the platform itself, contact us first so we can try to resolve it. These terms are governed by the laws of the state in which the Guild is established, and disputes will be handled in the courts of that state.

Changes to these terms We may update these terms as the platform or the law changes. Each document carries its own version, and material changes take effect when the new version is published. If you keep using the Guild after that, you accept the updated terms.

Contact Questions about these terms can be sent from the contact page, and the Guild team will reply by email.

Directory disclaimer

The Wellness Guild is a directory service and technology platform. It is not a provider of massage or wellness services, and it does not guarantee the quality, safety, or outcome of any session. Every provider listed here is an independently licensed practitioner or business that is solely responsible for their own practice, their standard of care, and their compliance with the laws of the states in which they are licensed. Clients pay providers directly — the platform never handles client payments, refunds, or payouts, and it only processes provider subscription billing. No health information is ever shown publicly: a provider sees your intake form only after you choose them, and only for the purpose of delivering your care. The Guild verifies licenses and identity before a listing goes live and monitors them for expiry after, but verification is not a warranty of any particular result. If you have a concern about a provider, tell us through the contact form or the complaint link on their listing.
